DocsChain Terms and Conditions
1. Introduction
DocsChain is a blockchain-based document certification and verification platform operating on the Polygon network. By accessing or using DocsChain, users agree to be bound by these Terms and Conditions, our Privacy Policy, and any additional agreements or guidelines made available within the Platform.
These Terms govern your use of the DocsChain web and mobile applications, APIs, and related services, including but not limited to document certification, verification, payments, and support features.
If you do not agree to these Terms, please do not access or use the Platform.
2. Definitions
For clarity, the following terms are used throughout this document:
- Platform: The DocsChain web, mobile, and API infrastructure that provides blockchain-based document certification and verification.
- User: Any registered or unregistered individual accessing the Platform.
- Individual User: A private user certifying personal documents (e.g., diplomas, IDs).
- Organization User: A business or institution certifying or verifying official documents.
- Verifier: A third party using the Platform to confirm document authenticity.
- Smart Contract: A blockchain-based mechanism on Polygon that validates and stores document hashes.
- Certificate: The digital proof of authenticity minted on the blockchain for a document.
- Document Hash: A unique cryptographic fingerprint of a document stored immutably on the blockchain.
- Subscription Plan: The pricing tier selected by the user to access DocsChain services.
3. Eligibility and Account Registration
- Users must be at least 18 years of age and legally capable of entering into binding agreements.
- Users must provide accurate, current, and complete information during registration.
- Each account is personal and non-transferable. Organizations must register using their legal entity name.
Users are responsible for maintaining the confidentiality of login credentials and for all activities under their account. - DocsChain reserves the right to suspend or terminate accounts that violate these Terms or engage in fraudulent activity.
4. Services Overview
DocsChain provides the following services:
- Document Upload and Certification
- Users may upload supported document types (PDF, JPG, PNG, DOCX, etc.).
- The Platform generates a unique hash stored on the Polygon blockchain, representing a permanent record of certification.
- Verification
- Documents can be verified using a QR code or certificate ID.
- Verification results include issuer details, timestamp, and certificate status.
- Dashboard and Admin Tools
- Users access dashboards to manage documents, transactions, and profiles.
- Admins have extended control over user management, fees, and compliance settings.
- Payment and Subscription
- Users may subscribe or pay per certification using integrated payment gateways (Moyasar, crypto wallets, etc.).
- All transactions are secured via encryption and comply with PCI-DSS standards.
- APIs and Integrations
- Verified partners may access DocsChain APIs for automated certification or verification workflows.

5. User Responsibilities
Users agree to:
- Upload only documents they legally own or are authorized to certify.
- Ensure that all information provided during certification is accurate and truthful.
- Comply with all applicable laws and regulations, including data protection and intellectual property laws.
- Avoid misuse of the Platform for illegal, fraudulent, or defamatory purposes.
- Maintain the confidentiality of access credentials and immediately report unauthorized use.
- Refrain from reverse engineering, scraping, or tampering with the Platform or smart contracts.
6. Document Certification and Blockchain Records
- Irreversibility:
Once a document hash is recorded on the Polygon blockchain, it cannot be modified or deleted. Users must verify the correctness of the document before certification. - Document Storage:
DocsChain may use IPFS or encrypted cloud storage for document copies, while only the hash is stored on-chain. - Certificate Ownership:
The user who initiates certification retains ownership of the original document and certificate metadata. - Verification Access:
Third-party verifiers can access certificate details using the provided verification link, QR code, or API endpoint. - Revocation:
In cases of misuse, fraud, or court orders, DocsChain reserves the right to mark certificates as “revoked” without altering the blockchain record.
7. Payment, Fees, and Refunds
- Payment Processing:
DocsChain integrates Moyasar for fiat payments and supports cryptocurrency transactions. All payments are processed via secure, third-party gateways. - Subscription Plans:
Users may select from available subscription tiers (individual, organization, enterprise). Each plan specifies document limits, validity, and pricing. - Billing and Invoices:
Users can access digital invoices through their dashboard. Prices exclude applicable taxes unless otherwise stated. - Refund Policy:
Refunds may only be granted for unprocessed certifications or duplicated payments within 7 business days of the transaction, at the discretion of DocsChain. - Disputes:
Payment disputes must be raised through support tickets within 14 days of the transaction.
8. Data Protection and Privacy
- DocsChain adheres to GDPR, CCPA, and applicable Saudi data protection laws.
- Uploaded documents are encrypted in transit (TLS) and at rest (AES-256).
- The Platform only stores document hashes and necessary metadata for verification.
- DocsChain does not access or share document contents except when required by law or user consent.
- Users may request account deletion, but blockchain entries remain immutable.
- Admins maintain audit logs for compliance and internal security reviews.
9. Intellectual Property Rights
- All platform content, trademarks, software, code, and interfaces remain the intellectual property of DocsChain Technologies.
- Users retain full ownership of their uploaded documents and certificates.
- Unauthorized reproduction, modification, or redistribution of DocsChain software or branding is strictly prohibited.
10. Platform Security and Limitations
- DocsChain employs encryption, RBAC (Role-Based Access Control), and 2FA for user protection.
- Users are responsible for implementing proper cybersecurity measures on their own systems.
- DocsChain is not liable for losses arising from:
- Compromised user accounts.
- Incorrect document uploads or misconfigured blockchain entries.
- Third-party platform outages or blockchain congestion.
- Security audits and smart contract reviews are conducted regularly; however, blockchain risks (e.g., gas fees, network delays) are inherent and accepted by the user.
11. Support and Communication
- Users can submit support tickets or contact customer service via the built-in ticketing system or email.
- Response times vary depending on ticket severity.
- DocsChain may send transactional and system emails for verification, updates, or marketing (subject to user preferences).
- Automated reminders may be sent for document expiration, payment renewal, or pending actions.
12. Compliance and Legal Use
- DocsChain is intended for legitimate document certification only.
- Users may not use the Platform to certify falsified, illegal, or copyrighted materials without authorization.
- Any illegal use may result in account suspension and notification to relevant authorities.
13. Limitation of Liability
To the fullest extent permitted by law:
- DocsChain is not responsible for any indirect, incidental, or consequential damages arising from Platform use.
- Blockchain transactions are irreversible; DocsChain cannot modify or erase blockchain data.
- The Platform is provided “as is” and “as available,” without warranties of any kind, express or implied.
- DocsChain shall not be liable for damages exceeding the total amount paid by the user in the preceding 12 months.
14. Termination and Suspension
- DocsChain may suspend or terminate user accounts that:
- Violate these Terms.
- Engage in fraudulent or abusive activity.
- Pose security or compliance risks.
- Users may terminate their account at any time via their profile settings.
- Upon termination, DocsChain retains blockchain records for compliance but removes user-identifiable data where possible.
15. Modifications to the Platform or Terms
- DocsChain may modify services, features, or these Terms at any time.
- Users will be notified of significant changes via email or platform alerts.
- Continued use of the Platform after modifications constitutes acceptance of the updated Terms.
16. Governing Law and Jurisdiction
These Terms shall be governed by and construed under the laws of the Kingdom of Saudi Arabia, without regard to conflict-of-law principles.
Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the competent courts in Riyadh, KSA.
17. Force Majeure
DocsChain shall not be held liable for delays or failures caused by events beyond its reasonable control, including natural disasters, cyberattacks, blockchain downtime, or government actions.
